Piedmont runs on the owner's memory and three systems that don't talk to each other. New business comes in through five different doors and gets logged five different ways. Service requests live in inboxes, so some quietly slip. Renewals get handled the month they are due, which means good clients drift away without anyone noticing. What we saw, stage by stage
New lead

Leads come in through at least five channels, and each one lands somewhere different: Google (Local Services Ads and organic search) into a spreadsheet, Facebook into Messenger, paid leads from EverQuote emailed to a single producer, client referrals kept in someone's head, and phone and walk-ins jotted on paper. There is no one pipeline, so nobody can say how many leads came in last month, or which source is actually worth what you pay for it.

For every lead, the producer types the same client details into your comparative rater (EZLynx) to compare carriers, then rekeys them again into the individual carrier portals (Progressive for Agents, Safeco Now, Travelers) to finish anything the rater does not bind. The same client gets entered three or four times. It is slow, and every retype is a fresh chance for an error that rides along with the policy for years.

Bind & issue

Binding itself works. But the signed applications, dec pages, and carrier confirmations scatter across your AMS (HawkSoft), Outlook, and a shared drive. Finding one document three months later means checking all three.

Service

COIs, ID cards, and endorsement requests come in by phone and email and get handled whenever someone has a minute. There is no shared queue, so two people can miss the same request, and the client is left chasing you to find out whether anything ever happened.

Renewal

Renewals get pulled from HawkSoft the month they are due. With no 90-day look-ahead, remarketing happens under pressure, and the clients most worth keeping have often already been quoted by a competitor.

Through all of it

The carrier relationships, the underwriting judgment, and most of the institutional memory live with one person, the owner. When she is out, the whole agency slows to a crawl.
